TRAC FM engages radio listeners in East-Africa in meaningful public debate on matters concerning their relationship with government, public services and the private sector. TRAC FM reaches out to even the most remote and excluded citizens through the use of basic mobile phones, interactive radio talk-shows and innovative online software. Data from radio-poll results and additional statistics are used to structure, represent and amplify people’s voices during radio debates and used for strategic advocacy campaigns.

Objective of Role

Carry out the function of project accounting and financial reporting efficiently and ensure financial management support is provided to meet the needs of operations and objectives of the project effectively.

Reporting 

The Project Accountant/Finance Manager will report to the Country Director TRAC FM on functional deliverables and to the Executive Director administratively.

Key Responsibilities:

A. POLICIES

  • Develop and maintain the Financial and Accounting Policies and Procedures Manual and ensure compliance.

B. FINANCIAL REPORTING AND AUDIT MANAGEMENT

  • Manage separate project budgets and administration of the CM2 Project.
  • Support annual financial audit
  • Write annual financial report using data from QuickBooks accounting software

C. ACCOUNT MANAGEMENT

1. Sub-grantee accounts

  • Prepare weekly/monthly requests and disbursements for approval and later posting to QuickBooks Online, our accounting system
  • Review and Reconcile between budget, work plans and disburse to ensure compliance and accuracy of balances 
  • Set-up and check reporting requirements by partners to report on sub-grants

2. Supplier Weekly Payments And Fees

  • Prepare weekly supplier payment schedules for approval and after approval proceed to effect payments via traditional channels, such as banks, and cashless channels, such as Mobile Money
  • Perform weekly payment reconciliation reports
  • Manage petty cash
  • Prepare and post weekly payments and applicable fees to QuickBooks Online

D. PAYROLL MANAGEMENT

  • Prepare the monthly payroll, including statutory and non-statutory deductions, for submission to the Bank
  • Ensure that payroll information is up-to-date in the company’s payroll system
  • Affect payroll in QuickBooks Online, and reconcile this information with Bank statements and employee payslips

E. ACCOUNTING AND BOOKKEEPING OVERSIGHT

  • Lead the processes of financial planning, budgeting and compliance
  • Review all transactions for cash and bank accounts on a daily basis
  • Review the allocation of costs to activities/sub-grantees/projects, and flag any deviations from budgets
  • Ensure transactions/report deadlines are met
  • Ensure the accuracy of monthly cash and bank reconciliation reports
  • Prepare weekly and monthly cash projection reports
  • Ensure that all inventory and fixed asset accounts are reconciled
  • Review monthly journals posted in QuickBooks 

F. FIXED ASSET MANAGEMENT

  • Update the fixed asset register
  • Prepare the disposal schedule for verification
  • Post monthly depreciation and disposals
  • Review fixed asset register with physical assets 

G. COMPLIANCE AND TAXATION

  • Review and file monthly: PAYE returns, NSSF returns and Withholding tax
  • Annual returns with NGO Board, Registrar of Companies, and others as may be required by stakeholders

H. STAFF TIMESHEETS

  • Manage monthly timesheets from staff members
  • Prepare a bi-annual timesheet report 

I. BUDGETTING FOR NEW POJECTS

  • Support budget development processes for new projects
  • Financial report writing 

Personal specifications:

a) Preferred skills, knowledge & abilities

  • Advanced MS Office user, particularly Excel and PowerPoint
  • Experience with Quickbooks (Online)
  • A high level of attention to detail - you should be able to ‘catch’ and resolve errors or omissions before more senior members of the team do
  • A desire to learn and to grow. We are growing quickly and you should have a desire to respond to the challenges that that growth presents
  • Adopt a proactive approach. You’re the kind of person that fixes inefficient processes and suggests solutions to problems that are outside of your delegation

b) Preferred Qualification:

  • Certified Public Accountant (CPA), Associate Chartered Certified Accountant (ACCA), or equivalent
  • Bachelor’s degree from a reputable institution 

c) Preferred experience:

  • Should have a Minimum of 2 years’ work experience in a similar reputable, challenging organisation, preferably an NGO, accounting and audit firm, bank etc.
